This policy covers the My Fleet Pro web application, the public vessel report pages reached by QR code, and the related invitation and notification emails we send.

• Account information — your name, email address, and the role and vessel access assigned by your company administrator.
• Fleet and company data — vessels, bases, equipment, maintenance schedules, bookings, inspections, work orders, incidents, and damage reports entered by your team.

• Guest-submitted reports — the name, contact details, description, and photos submitted by crew or guests through a public vessel report page.
• Usage and device data — log data, browser type, and approximate location derived from your IP address, collected automatically to keep the service secure and reliable.

3. How We Use Information

We use the information we collect to:

• Provide, operate, and maintain the service, including your fleet dashboard and records.
• Authenticate users and enforce the access permissions your company configures.
• Send transactional messages such as invitations, password resets, and operational notifications.
• Keep an audit trail of changes so that fleet activity remains accountable.
• Provide support, troubleshoot problems, and protect against misuse of the service.
• Understand how the product is used so we can improve it.

4. Legal Bases for Processing

If you are located in the European Economic Area, we process your personal data on the following legal bases: performance of a contract (to provide the service you or your company signed up for), legitimate interests (to secure and improve the service), consent (where you have given it, for example when submitting a guest report), and compliance with legal obligations.

We do not sell your personal data. We share it only in these situations:

We retain your information for as long as your company's account is active and as needed to provide the service. Records you delete may remain in encrypted backups for a limited period before being permanently removed. When an account is closed, we delete or anonymise the associated personal data within a reasonable period, unless we are required to keep it for legal or accounting reasons.

Traffic to My Fleet Pro is encrypted in transit using HTTPS. Access to fleet records is restricted by role-based permissions, so users see only the vessels and data they are authorised to see. We review our practices regularly, but no system can be guaranteed to be completely secure, so please choose a strong password and keep your account credentials private.

8. Cookies and Local Storage

We use essential cookies and browser storage to keep you signed in, remember your preferences, and support offline use of the app on mobile devices. We do not use advertising or third-party tracking cookies.

9. Your Rights

If you are located in the European Economic Area, you have the right to access, correct, or erase your personal data, to restrict or object to its processing, and to receive your data in a portable format. You also have the right to lodge a complaint with your local supervisory authority.

My Fleet Pro is a professional tool intended for use by charter company staff and crew. It is not directed at children, and we do not knowingly collect personal data from anyone under 16.
